Free Setups

Personalization Information

  • Most products have free personalizations.

  • Personalizations should be submitted electronically in our excel format to our specifications to avoid additional charges.

  • Non-excel file submissions will incur a typesetting charge: $2.50 (V) each, in addition to the personalization charge, if applicable.

Free Virtual Renderings for Custom Designs

  • Up to 3 designs. Please provide estimated quantity, in-hands date, and price ranges under consideration
  • Additional renderings may require some design fees. These will be discussed with you prior to implementation.
  • Standard art fee of $36.00(z) per half hour may apply.

No Re-Order Setup-Charges

  • For identical copy or copy with date changes.
  • Application charges will apply for additional colors, sides or locations.
  • Custom products will require a setup charge. Charges will be quoted if applicable.

Additional Imprint Areas or 2nd Side Imprint

Color-fill

  • $7.50 (V) per area, per color, per piece.
    Standard colors: Gold, black, white, copper, silver
  • Call Customer Service for additional color options.
  • PMS color matching not available
  • Add one day to normal production schedule
  • Color-fill not available on drinkware

Certificate Printing

  • Full color printed certificates available for purchase. See page 156 - 159 for sizes and pricing.
  • Certificates are printed on 60# white stock.

Less Than Minimum

  • Some products are not available for sale at less than listed quantities.
  • Digi-color products may be purchased at less than a 6-piece minimum with a $60.00 (v) less than minimum charge.
  • Digi-color less than minimum charge is a one-time charge unless the graphics/layout changes.

 

Less Than Minimum Acrylic Cutout Products

  • Digi-color acrylic cutout products may be purchased at less than a 12-piece minimum with a less than minimum charge.
  • New orders have a $60.00 (V) less than minimum charge.
  • Reorders have a $30.00 (V) less than minimum charge.

Production Schedule

  • Standard production time for catalog quantities: 6-9 business days after art approval.
  • Rapid Ship production time for catalog quantities: 3 business days after art approval.
  • Production begins after receipt of purchase order and credit terms are established.
  • Confirmation of purchase order to be emailed
  • Any changes to the order after receipt of the confirmation may be subject to additional/adjusted charges.

Expedited Service

  • Orders requiring faster than our standard published lead times, may be accommodated based upon factory capacity at no additional charge.
  • When capacity is full, shipping in 6 working days or less from final art approval will incur a rush charge.
  • Rush charges are assessed at a minimum of $50.00 (z) or 20% of the order total.
  • Charges to be advised before the order is processed and will be on your order confirmation.

Pre-Production Samples:

  • Pre-production samples are invoiced at the minimum quantity plus all art and setup charges.
  • Custom product is non-refundable.

Random Samples Awards:

  • Subject to availability. • Random imprinted samples charged at 75% off EQP.
  • FedEx or UPS account number must be supplied or freight will be billed.
  • No third party shipping charge on sample orders

Random Samples Gifts:

  • Subject to availability.
  • Random samples under $20.00 EQP, will be provided at no charge.
  • FedEx or UPS account number must be supplied.

Art Requirements

  • Templates available at pacesetterawards.com
  • Production ready artwork should be sent via email, upload, or removable drive to your Customer Service Rep with a copy of the purchase order.
  • Please send additional PDF or JPG files of the artwork along with the original production art files.


Vector Files:

  • Corel 15 or lower (CDR)
  • Illustrator (EPS or AI)
  • Convert fonts to curves/outlines/paths


Bitmap Files:

  • Photoshop (PDS)
  • TIF, JPG: 600 dpi preferred, minimum 300 dpi for each embedded image.

Art Preparation

  • Digi-Color
  • Minimum font size is 10 points.
  • Include 1/8” clear space around the edges of the artwork.
  • Personalizations should be vector files separated from the bitmap background.
  • Lens effects, gradients, and layers need to be flattened.
  • Avoid images smaller than 300 dpi when sized for production
  • Bitmap images should be in proportion to the size of the award.
  • If appropriate art elements are not available, our artists can manipulate your files for $36.00 (z) per half hour.
  • Digi-color cannot guarantee PMS colors. For close approximation, a pre-production sample is recommended and a PMS approximation charge will apply, $32.00 (z)
  • No PMS colors are available on gradients, transparencies, or metallic colors.

Sandblasting

  • Minimum font size is 12 points on non-serif fonts and 16 points on serif fonts.
  • All artwork must be black and white, no halftones.
  • Artwork with fine lines may be problematic.

Laser

  • Minimum font size is 10 points.
  • Black and white art is required.
  • Halftones of 10%-30% gray can be used but may be problematic.
  • Spec samples available in some cases.

Screening

  • Minimum font size is 10 points.
  • Standard colors available in addition to Pantone Basic Colors, are black, white, gold, silver and frost.
  • Artwork to be supplied color separated.
  • PMS approximation charge will apply, $32.00(z)
  • No PMS colors are available on gradients, transparencies, or metallic colors.

Subsurface Laser Crystal

  • 2D Art Conversion Fee (extruded logos), $36.00(z)
  • 3D Art Conversion Fee (fully modeled graphics), range in price from $150.00-$275.00 depending on the complexity of the design.
  • Art time: 4-8 days

Minimum Orders

Orders totaling less than $75.00 (R) will incur a $15.00 (z) order handling fee.



Credit Policy

  • Completed credit application and agreement is required before credit can be extended or expanded.
  • Open credit and Net 30 day terms is subject to credit approval
  • Prepayment is required for unapproved credit; we do not ship COD
  • We accept VISA, Discover, AMEX, and MasterCard credit cards at the time of shipment. A 2% surcharge will be added to invoice amounts for credit card payments only.
  • Post shipment payments, past 45 days, a 15-day grace or outside of terms.

Cancellation/Decreased Order Charges

  • Orders canceled after production begins are subject to invoicing of all labor incurred and materials used.
  • Orders with decreased quantities are subject to invoicing of all additional labor incurred and materials used. Also, product to be invoiced at the appropriate column pricing.
  • All changes to orders must be submitted in writing via email with a revised purchase order.

Increased Order Charges

  • Orders increased during the proofing process may be increased at no additional charge, check with your sales representative if additional materials are needed at an additional charge.
  • Orders received after the production run has been completed, a new purchase order must be submitted for production.
  • If the order is increased during proofing or during production, additional lead time may be necessary or expedited shipping service to meet in hands date.
  • All changes to orders must be submitted in writing via email with a revised purchase order.

Shipping

  • All orders are FOB: Factory
  • Factory ships FedEx or UPS.
  • Any other method of shipping or international shipments will be subject to an additional Document Charge: $25.00 (z).
  • Incorrect Addresses – $16.00 (z) per address charged for FedEx $16.00 (z) per address charged for UPS $8.00 (z) per address for Address Correction Handling Charge
  • Freight quotes are estimated prices due to variances in dim weights. We are not liable for variances in our estimates.
  • All international shipments are subject to additional duties, taxes, and brokerage fees
  • Pacesetter Awards ships by FedEx or UPS and shall not be held responsible for the loss or delay in delivery of goods by failure of the shipping service or consequences of unforeseen circumstance. Once delivered to the shipping provider, risk of loss and/or damage shall pass to the buyer.

Third Party Shipping/Freight Collect

  • Customer to supply carrier, account number, account name, contact phone number, and reference number on the purchase order at least 3 days prior to shipping.
  • A third Party Handling charge will be applied per order, $10.00 (z)

Individual Drop Shipments

  • $7.00 (z) per destination
  • Drop ship information must be supplied electronically in excel format to our specifications to avoid additional charges.
  • More than 10 dropships must be supplied in the excel template. Failure to do so will result in a $250.00 fee.
  • Drop ship template can be found at pacesetterawards.com in the Distributors Tools.

Warehouse Release Program

Ideal for service award programs to retain pricing and availablity – simply total your award needs for the year and place a Master Order – minimum 25 pieces.

  • Pre-pay purchase order to hold inventory for 14 months.
  • $10.00 (z) charge will apply to each release shipment of the prepaid merchandise order held in inventory.
  • Freight, International Documentation Fee, Third Party Shipping Fee, and Personalization Charges to be billed per release order, if applicable.
  • Merchandise will be held no longer than 14 months. After a contracted length of the program merchandise may be disposed of by factory. 
  • Production delivery dates apply for each release.
  • Master Orders for less than 25 pieces will incur a $50.00 (z) warehousing fee.

Lost or Damaged Merchandise

  • Claims for repair, replacement, corrections, or shortages must be presented to our company within 7 days from receipt of the shipment.
  • Re-shipment, if necessary, requires the use of professional care and packaging materials to prevent damage in transit.
  • If using a 3rd party shipping number, claims must be initiated by the party that the shipper number belongs.

Custom Orders

  • Custom orders require an emailed purchase order.
  • A minimum of a 50% deposit may be required with a purchase order.
  • Minimum quantities may apply.
  • Custom product is non-refundable

Graphic Assistance

  • Take your logo and graphics to the next level! Most full-color and multi-dimensional effects can be dramatically enhanced by our Graphic Assistance Designers.
  • Graphic Assistance is billed at $36.00 (z) per half hour.

Return Policy

  • All samples or packages must be approved prior to returning them to the factory.
  • Contact Customer Service for a return authorization number.
  • Custom, imprinted, and non-stock items are non-refundable.
  • For blank products, 20% re-stocking fee will be applied to all returns of stock catalog items.

Sizes and Weights

  • All sizes and weights are approximate.

Prices are FOB Factory

California Proposition 65 (Prop 65)

  • Pacesetter Awards products meet all applicable federal safety requirements as enforced by the Office of Environmental Health Hazard Assessment, http://oehha.ca.gov/prop65.html.
  • Prop 65 requires that a clear and reasonable warning will be provided prior to any person that the product is sold.
  • To better serve our distributors, and assist them in complying with Prop 65 requirements, distributors must request that the following Proposition 65 warning be applied to their products prior to shipment: WARNING Cancer and Reproductive Harm www.P65Warings.ca.gov.

Discontinued Merchandise/EOL Product

  • EOL, End of Line product is marked with an EOL icon. These products will be discontinued after inventory has been depleted.
  • Discontinued and EOL product can be found on pacesetterawards.com with deep discounts, while supplies last.

Inventory

  • Every effort is made to maintain sufficient quantities to meet product demand, however, all orders are subject to product availability.
  • Verify stock availability with Customer Service.

Substrates

  • Some products such as Art Glass, Marble, and Custom LaserCut Acrylic have variations in size, color, pattern, and surface texture.
  • These variations are inherent characteristics of the product, including but not limited to: air bubbles, graining, knots, waviness. These are part of the uniqueness of the pieces and are acceptable in quality.
  • No replacement or refund will be provided due solely to characteristic variations.

Trademarks

  • Distributor is responsible for the reproduction of all copyrighted and trademarked materials.
  • All logos, designs, and trademarks illustrated in this catalog are for illustration purposes only. They are not intended for resale, product endorsement, or brand name endorsements.

Prices

  • We reserve the right to change prices without notice.
